Administrative Assistant, Fidelity Services Group

Overall objective of the position: The employee will be in charge of all paperwork, correspondence, filing, office administration, travel planning, scheduling, meetings, and interactions with clients, suppliers, and visitors while continually sticking to the highest standards of confidentiality.

Duties and Responsibilities:

  •  Coordinate and book meetings for the GM, clients, management, and individual staff.
  • Take minutes during meetings as needed.
  • Ensure timely distribution of agendas and minutes.
  • Coordinate meetings by email or phone.
  • Record accurate meeting minutes on a daily, weekly, or monthly basis.
  • Type correspondence as needed.
  • Distribute all outgoing documentation.
  • Screen all correspondence for the General Manager, prioritizing and obtaining necessary information from all departments.
  • Answer and screen calls to the General Manager.
  • Manage fleet repairs and purchase orders.
  • Provide phone support for problems/complaints to the General Manager.
  • Provide thorough feedback to clients as needed.
  • Make travel and accommodation arrangements for the General Manager and other managers.
  • Maintain budget for travel and accommodations
  • Perform ad hoc responsibilities as needed by the HOD.
  • Assist staff with appointments with the General Manager.
  • Maintain a detailed knowledge of Fidelity Secure Drive’s products and services and stay up to current on developments.
  • Prepare commission claims for evaluation and approval.
  • Responding to large volume emails.
  • Manage FSD payroll, including leave forms, applications, reconciliations, and other responsibilities.
  • Help the team with ad-hoc work.
  • Assisting with sales operations and administration for FSD staff.

Qualifications and Experience Required

  • Matriculation or Grade 12
  • Strong communication skills, both written and spoken.
  • Computer literate (MS Office, Excel, PowerPoint)
  • Excellent interpersonal skills
  • Strong organizational abilities and ability to manage multiple projects simultaneously
  • Ability to prioritize workload
  • Detail-oriented
